General Options

In addition to the information already filled in when creating the Tracker (Name, short name, description, color), the new options available are:

  • Instantiation for new projects: if you check this box, then the tracker template will be reused in a project that takes the current project as a template

  • Priority changes listed in the comments: if you prioritize your artifacts in the backlog then the information will be accessible in the artifact history

  • Submission and Research Instructions: you have the option to help users with text that will be displayed when creating artifacts or searching

  • Allow creation/reply to artifacts by email: available if the platform allows creation or email responses

Tracker Hierarchy

Configuring a hierarchy between two trackers allows, among other things, to predefine an "is child" relationship between two artifacts linked to each other, when the first artifact belongs to the "Father" tracker and the second to the "Son" Tracker.

The configuration of a hierarchy in two trackers is done in the "Hierarchy" submenu of the "Parent" tracker's admin area.

Warning

A tracker can have several "child" trackers, but the other way around is not possible. A tracker can only have one parent.

The hierarchy is used in other Tuleap tools, such as project management tools.

A new "Child" tab automatically appears with the hierarchy. This tab allows you to view all the children of an artifact. A tree structure allows you to see the parent artifacts from a child.

Inter-Tracker Triggers

Inter-tracker triggers are used to automate the updating of fields between a parent artifact and its child artifacts.
They are particularly useful, for example, to automatically close a parent artifact when all of its children have been completed.

Practical Info

We configure this in the Workflow menu of the Parent Tracker

Standard answers

Pre-defined answers

In order to save time, it is possible to define response templates that will be used to comment on the artifacts.

The models created in this way are accessible through a list in the comment section of the artifacts. Once selected, the message body is automatically added to the comment being edited.

Responses by email

Tuleap offers the possibility to respond directly to email notifications sent by the platform. The body of the email is added as a comment in the artifact that generated the notification.

Configuration is done in the platform's administration area (Tracker menu) option "Insecure email gateway".

Warning

Only platform administrators have access to this configuration option.

Artifact Moves

You can allow artifacts to be moved.

Time tracking

Warning

"Time Tracking" is a feature exclusively reserved for Tuleap Enterprise

You can enable the "Time tracking" option on any tracker.

Once enabled, users can record the time spent on artifacts.

User interface for adding a new time entry with date and time fields.

Once completed, the time tracking of an artifact appears as follows:

Time tracking interface showing task details, user, steps, and total time recorded.

A dedicated widget then groups together all the durations entered and presents them in a table format, for a defined period.

Personal time tracking details including dates, task, project, and time spent.

If you want to know more about this widget, please consult this article.

Deleting artifacts

Warning

Deleting artifacts in Tuleap is strongly discouraged.

Indeed, when you delete an element, you inevitably lose traceability, if only because you lose the information that this entry once existed. It becomes even more complex when this artifact was linked to others, for example, and we lose part of the context. It is therefore preferable to avoid deleting an artifact, but rather to mark it as "obsolete", "incorrect" and to filter these artifacts via the Trackers reports.

As a result, deleting an artifact is not an easily accessible operation and is only available to the Administrators of the Tracker in question. If you still need to delete an entry, you have to go to the Tracker administration and choose the "Deleting artifacts" entry from the hamburger menu:

Tasks administration interface showing field management options and delete artifacts feature.

Once in this interface, you have to enter the ID of the Artifact to be destroyed:

Warning message about permanently deleting an artifact with ID 408075 displayed.

Once the screen has been validated, the artifact in question is presented one last time to verify that it is indeed the one you want to delete. Then you just have to confirm the deletion of the artifact for it to be permanently removed.

Warning

There is a limit to the number of artifacts you can delete.

This daily limit is defined by the platform administrator. By default, it is set to zero.

FAQ

Why am I unable to delete an artifact ?

This may be due to the daily limit on artifact deletions. Ask the platform administrator to check the maximum number of artifacts that can be deleted per day here:/plugins/tracker/config.php?action=artifacts-deletion
