In your navigation menu, you will find several tabs for managing users on your Tuleap platform.

Tuleap is a self-managed system, and it is not usually necessary to spend time maintaining user accounts.

There are, however, a few exceptions:

  • Lost password: some users occasionally ask for help when they have lost their password. Direct them to the Tuleap login screen and ask them to click on the ‘Forgotten password’ link.

  • Lost username: some users forget their username. Using the Tuleap search field, the administrator can retrieve the login using their surname. They can then follow the password recovery procedure described above.

  • Lost password and changed email address: in this case, the standard recovery procedure will not work, as the user will never receive the reset email (since their email address is incorrect). The Tuleap administrator must use the user administration module to update the user’s email address, then ask them to follow the usual password recovery procedure.

  • Invalid email address: this is a common issue when using Tuleap’s bulk email sending engine. All invalid email addresses generate error messages (‘bounces’) sent to [admin@example.com](mailto:admin@example.com). We recommend regularly cleaning up the user database using the following procedure:

    • Search for the person in the company directory. If they are still working at the company and their email address has changed, contact them and ask them to update their address.

    • If the person is no longer with the company, go to the Tuleap user administration page, search for their username and click on “Suspend” or “Delete”. Suspending the account is generally preferable, as it allows the account to be easily reactivated without any loss of personal information if the user is still active.

  • Incorrect email address during registration: it is common for new users to enter their email address incorrectly in the registration form. In this case, the confirmation email never reaches the recipient and the account cannot be validated. When an error email is received, the Tuleap administrator has two options:

    • Go to the Tuleap main administration page, search for pending user accounts, force approval of the account, then send a message to the user stating that their account is now active. The first thing they will need to do is correct their email address via the ‘Account Management’ link.

    • Simply resend the rejected message to the correct email address, ask the user to confirm their registration, and then update their email address as described above.

  • External or non-compliant email addresses: when registering, users are strongly advised to use only internal, approved email addresses. Ideally, they should also use the canonical form of their address as it appears in the company directory. This ensures that searches and matches carried out by Tuleap using the company directory work correctly.
